Voxori already answered the phone, booked appointments and followed up. Business OS is the next layer: you type an instruction in plain language in your portal and an AI business manager carries it out with real data from your own records — today’s overview, a quote draft from your own price list, a job scheduled with a free technician, a draft invoice after completion.

Anything that costs money or reaches your customer waits for your approval. Amounts are calculated by the system, never by the AI. And what the AI did, you read back as it stands in the records — not as the AI retells it.

Where it stands today. This currently runs only on our own environment, in a guided pilot. No customer account runs it unattended yet; the legal review of quotes and invoices issued on a customer’s behalf is still in progress.

In pilot

In pilot means: built and tested, not live by default. We switch this module on per customer after a guided start — listening in on a few real conversations before anything runs unattended.

Two switches, both off by default. You switch the module on in your portal, and we have to have released it platform-wide. If either one is missing the module does nothing — no half measures, no button that quietly does nothing.

This module is deliberately not on the build-your-own price list: it is bespoke work we set up per customer, and the price is agreed in that process. So there is no switch and no fixed monthly fee — but an honest conversation about what it would be for you. What is actually true today is stated below.

How it works: the AI proposes, the system calculates, you decide

At the top of your portal is one input bar: “What should Voxori handle for you?” You type, for example, “make a quote for Jan de Vries for three hours of work on his boiler”. The AI business manager looks up the customer, takes the hourly rate from your price list and prepares a quote draft. The amount — including VAT and any discount — is calculated by the system, with the same rules as a calculator. The AI may propose, not calculate.

Then your role begins. Creating a draft the AI may do itself; approving and emailing it to the customer always needs your approval, as does finalising or sending an invoice. You see each request with a short summary and approve or reject it with one click. A request expires by itself after 72 hours.

Behind the business manager are twelve specialised agents — sales, quotes, jobs, scheduling, invoicing, receivables, marketing, customer success, purchasing, HR, compliance and reporting — each with a fixed, small set of permissions. No agent can change its own rights, start another agent or do anything outside that set: that button simply does not exist.

If you want something to happen by itself, you switch on an automation: ‘when a quote is accepted, create a job and a scheduling task’ or ‘every Monday a weekly report in my inbox’. You pick them from an industry pack, build them in a simple editor, or describe them in plain language — the AI then prepares them switched off until you have reviewed them.

Quote and invoice amounts come from your price list and are calculated deterministically, with VAT per rate, discount and rounding as the law requires.

Sending a quote, finalising an invoice, sending a reminder: always with your approval. Reading and internal tasks run directly.

Scheduling without double bookings

Free slots per technician, taking skills, existing appointments and approved leave into account. Scheduling happens in one guarded step.

What really happened

Every instruction shows, from the records, what was carried out, what is waiting for you and what failed — not what the AI says about it.

A monthly budget per agent; the AI cost per instruction is shown. If a price is unknown, it says ‘unknown’ — never a number that is too low.

What Business OS does not do

Precisely because this is about money and customers, the limits are firm — and they are stated here, not in the small print:

It sends nothing to your customer without your approval. Quotes, invoices and reminders only go out after a click by the owner. An employee can read and prepare, not approve.

It makes no payments and orders nothing. A payment only counts as received when Mollie or you confirm it. Purchasing produces requests; you place the order. Changing bank details does not exist as an action.

It makes no decisions about staff and publishes no marketing. Leave is recorded, you decide. Marketing texts are drafts; publishing or mailing happens outside the AI.

It does not read documents and only counts travel time if you switch it on. Uploaded documents are stored, not fed to the AI — so a file cannot give the AI instructions either. Travel time in scheduling is optional via Google Maps; then only addresses go to Google, never names.

It is not yet self-serve. Business OS runs in a guided pilot on our own environment. Invoices and quotes on a customer’s behalf are reviewed legally first before we switch it on for customers.

What does it cost?

Business OS is not on the build-your-own price list and is not part of Voxori Complete. It is bespoke: we set up the price list, automations and permissions per customer, and the price is agreed in that process — there is no switch and no fixed monthly fee. Frequently asked questions

Questions about AI business manager (Business OS).

Can the AI just send an invoice?

No. Preparing a draft invoice is allowed; finalising and sending always require the owner’s approval. That is not a setting but a fixed rule in the software.

Who calculates the amounts?

The system, with the same rules as a calculator: price from your price list, VAT per rate, discount pro rata, rounded half-up. The AI proposes lines, but the total never comes from an AI answer.

What if the AI gets something wrong?

Every proposal is visible before it is carried out, and everything that works externally waits for you. If a step fails, it shows as ‘failed’ in your overview; an automation then stops cleanly and can be resumed.

Where does my data go?

Instructions and the data the AI needs for them go to the AI model (Anthropic). Documents you upload never go to the AI. The data processing agreement is being extended for this; that is part of the legal review before launch.

What does it cost?

Business OS is bespoke per customer: the price depends on what we set up for you and is agreed in that process. That is why there is no amount on the site — we would rather say that than invent one.

Does scheduling take travel time into account?

Only if you switch it on. Then Voxori counts driving time via Google Maps from your base address or the previous job, and only proposes feasible slots. Only addresses go to Google, never names.
